As the Poland Time & Attendance Subject Matter Expert (SME), you will play a critical role in ensuring both operational effectiveness and legal compliance for working time-related processes across IBM entities in Poland supporting a large and diverse employee population. You will operate in a highly complex environment with diverse working time arrangements, including 24/7 operations, shift work, stand‑by duties, and varying settlement periods. The role requires effective collaboration with country HR, Payroll, Legal, ER/LR to educate and support local employees and managers on applicable working time practices within IBM in Poland to ensure compliance with Polish labor law.
Wymagania
- General knowledge in Polish labor law, particularly in working time regulations, with a proven ability to translate legal requirements into practical, operational solutions
- Strong hands‑on experience working with complex working time models, including shift work and stand‑by duties, ideally within a large or complex organization
- Previous experience in supporting labor inspections and audits
- Strong analytical skills with high attention to detail and a sense of compliance and risk awareness
- Demonstrated ability to work collaboratively across functions while also operating independently and with sound judgment
- Good stakeholder management skills, with the ability to build trust and work effectively with internal clients and stakeholders (managers, employees, HR, Legal, ER/LR, Payroll)
- Proactive, solution‑oriented mindset, with the ability to anticipate issues and to drive practical outcomes
- Fluency in Polish
- Good command of English, sufficient for professional communication in an international environment
Obowiązki
1. Time & Attendance Process Design and Governance:
- Design and maintain working time models, schedules, and settlement periods based on approved legal and policy frameworks
- Ensure country alignment with global Time & Attendance standards and operating model
- Partner with country Legal to translate Time-related statutory requirements into operational process rules to ensure legal compliance
- Escalate non-standard and complex cases to country HR Leader and ER/LR Lead and provide support to ensure proper resolution of such cases
2. Time & Attendance System Ownership & Configuration:
- Own and maintain Time & Attendance system configuration related to work schedules, shift patterns, overtime, standby, callout process flow
- Support system changes, enhancements, testing, and upgrades
- Perform root‑cause analysis of time system issues and implement fixes
3. Payroll Readiness & Data Quality:
- Ensure working time data accuracy and completeness before payroll processing
- Validate payroll‑relevant outputs related to overtime, shift premiums, on‑call, night, weekend work
- Partner with Payroll to resolve time‑related discrepancies
4. Operational Support:
- Support managers and employees on time reporting rules, working schedule setup, system usage and corrections
- Advise on process feasibility, not legal implications
- Ensure timely resolution of time‑related operational issues
5. Training & Documentation:
- Develop and deliver training on time processes, time tool usage, roles and responsibilities
- Maintain process documentation, user guides, and controls
6. Compliance Execution Support:
- Monitor time data for potential compliance risks (e.g. rest periods, overtime thresholds)
- Flag risks and escalate to country HR, Legal, ER/LR to raise awareness and ensure relevant measures and corrective actions are taken
- Provide data, system explanations, and documentation during audits or reviews
